A Day in the Life of a CPA During Tax Season (Please Send Snacks)

If you’ve ever wondered what happens after you drop off your tax documents, here’s a little behind-the-scenes look at life inside a small CPA firm during tax season.

Spoiler alert: it’s a mix of coffee, lots of checklists, teamwork, and at least one person saying, “Wait… where do I find that file?” (We are organized. Mostly.)

In a small firm, we all wear multiple hats. Some days I’m the office manager. Some days I’m tech support. Some days I’m that person reminding everyone where to find things, kind of like a mom!

The Morning Rush

Tax season mornings start with opening the office, logging into systems, checking messages, and making the first cup of coffee that somehow disappears immediately. Then comes the organizing. New documents that came in throughout the night, files get scanned and updated, and we make sure nothing gets lost in the shuffle.

This is usually when we realize we need one more document from someone. If we reach out asking for something, it’s not because we enjoy bothering you. It’s because the IRS enjoys paperwork, and we are simply the messengers.

Also, for those that are old school and prefer to bring in physical copies of your paperwork, when we return your documents, have you ever noticed your documents are neatly clipped instead of stapled? That’s on purpose. Staples slow us down, jam scanners, and cause more tiny paper related drama than anyone needs in their life. Our office is proudly a “no staples community”.

The Serious Work Part

Once everything is in, the tax preparers dive into the real work. This is the focused, quiet part of the day where calculators are clicking, screens are being stared at very intensely, and everyone is trying not to interrupt each other unless it’s important.

In a small office, this also means someone might be doing three things at once. Preparing a return, answering a phone call, and helping the printer remember how to be a printer.

The Phones, Emails, and “Quick Questions”

Throughout the day, we’re answering questions, scheduling appointments, and following up on missing information. We love your “quick questions” and we really do want to help. Just know that during tax season, our version of quick is sometimes “as soon as we finish these five things.”

If you ever wonder why things take a little longer this time of year, it’s because we’re helping a lot of people at once and trying to give each return the attention it deserves.

The Organized Chaos

Behind the scenes, there is a lot of tracking going on. We’re keeping tabs on which returns are in progress, which ones are waiting on documents, and which ones are ready for review. Since we are (mostly) a paperless firm, you won’t find piles of papers lying around. You’ll see our staff with a minimum of 3 monitors with about 19 open tabs! There is a method to the madness. We promise.

This is also where wearing multiple hats really shows. The same person who answers your call might be the one organizing files, solving a tech issue, and reminding the office that we are out of coffee again.

The Human Side of Tax Season

Tax season can be stressful. People worried they messed something up, forgot something important, or waited too long. We see it all, and we’re not here to judge. We’re here to help you get through it with as little stress as possible.

You don’t need to be perfect. You just need to be honest with us. We’ve heard worse. Truly.

Wrapping Up the Day

By the end of the day, we’re making lists for tomorrow, straightening up the office, and talking about what snacks we should bring next. Then we do it all again.

It’s busy. It’s a little chaotic. But we care about getting your taxes done right, and we’re grateful you trust our small team with something this important.
